Best Practices for Managing Volunteer Availability in HiOrg-Server?

Hi all,
I’m fairly new to using HiOrg-Server and recently started helping with organizing shifts for our local rescue team. The tool is great so far, but I’m running into a few challenges with managing volunteer availability—especially when plans change last minute.

Other volunteers forget to update their status, and we witness surprise dropouts. Even when I use remind features, sometimes it still does not solve the issue. I would be happy to know what else you are doing to make it smooth.

Do you have a best practice or functionality you can recommend to control this better? Maybe a workflow or process your team has done well with? I’m preparing for my cissp certification as well, so I’m actually very interested in well-designed, efficient systems—especially those which help with reliability and security with handling personnel information.

If you’ve made a checklist or shortcut method, I’d be ever so grateful if you could post it. The goal is to reduce manual follow-ups and keep the schedule up to date and fair for everyone.
